Contracting Travel Services - How to generate a code

The activity code shall be composed of two digits representing the year, followed by the code of the cost centre and then a three digit activity number that shall be correlative in each cost centre.

Example: 11-180230-001 would be the code corresponding to an activity to be carried out in 2011 (11-******-***), organized by the cost centre ‘Central Administrative Services’ (**-180230-***), and would be the first activity to take place in that year (**-******-001).

In cases where the University management requires the individual concerned to advance payment for travel that is subsequently to be reimbursed by the University, the letter ‘S’ shall be added to the end of the code
Example: 11-180230-002-S

In situations where travel needs to be planned and the identification code of the cost centre is not known, it can be replaced by a six-digit code that the person responsible for the activity may invent, but that clearly refers to the activity
